Setting Up the MINDA and Figured Integration

A step-by-step guide to setting up the LIC MINDA integration with Figured, including authorisation, herd mapping and syncing historical data.

To successfully enable the integration, you'll need:

  • An active LIC MINDA account with herds set up

  • Your MINDA login details for the farm, or a client who can authorise the connection for you

  • A Figured farm in New Zealand on Farm Manager, Farm Manager (Adviser) or Farm Reporter, with at least one Dairy Cattle livestock tracker (the MINDA integration supports dairy cattle only)

  • The MINDA Integration: Pre-Integration Checklist completed

  • No other livestock integration connected to the farm. A farm can have one livestock integration at a time, so if AgriWebb is connected you'll see an Existing Integration message until it's disconnected.

🚫 Sales and purchases are not part of the integration and still need to be entered in Figured or brought in from Xero. Only natural movements (births, deaths, aging) and herd changes sync from MINDA.

Step 1: Access Integration Settings

  1. Log in to your Figured account.

  2. Click Settings in the sidebar, then under the Operation heading click Livestock Integrations.

  3. Click + New Connection and select MINDA.

Step 2: Choose Your Authorisation Method

There are two paths depending on whether you have direct access to MINDA or someone else holds the MINDA login.

Path A: You have direct access to MINDA

  1. In the pop-up, choose "I have access to MINDA: Connect".

  2. You'll land on an Authorise a Connection screen confirming which Figured farm you're connecting and what data will flow. Click Authorise Connection.

  3. You'll be redirected to the LIC sign-in page. Enter your MINDA username and password.

  4. On the next screen, Figured lists the herd(s) it's requesting access to. Tick to confirm, read and agree to the data-sharing terms, then click Proceed.

  5. You'll be returned to Figured to complete setup.

Path B: Your client holds the MINDA login

  1. In the pop-up, choose "I don't have access to MINDA: Email to authorise the connection".

  2. Enter your client's email address and click Send. The integration shows as Pending Approval.

  3. Your client receives an email from Figured explaining the integration. They click through, sign in to LIC MINDA, and complete the herd selection and consent screen.

  4. Once your client has authorised, you'll receive an email notification. Return to Livestock Integrations in Figured to continue setup.

✅ Tip: Give your client a heads-up before the authorisation email arrives so it isn't dismissed as spam. The link is valid for one week. If it expires, resend it from the Livestock Integrations page.

🚫 If you try to authorise a farm you don't have the right permission level for in MINDA, you'll see an error. The herd owner, or someone with delegated authority in MINDA, will need to complete the authorisation instead.

Step 3: Map Herds to Trackers

  1. Once authorised, you're returned to the MINDA Integration Setup page on the Map Herds step.

  2. Each MINDA herd the integration has access to is listed with a Select Tracker dropdown.

  3. Match each MINDA herd to the corresponding Figured livestock tracker. A herd maps to one tracker, and several herds can share a tracker. We recommend a separate tracker per herd so movements are easier to follow.

  4. Click Next.

Step 4: Map Stock Classes

On the Map Stock Classes step you choose which Figured stock class each MINDA stock class imports into, for each mapped tracker.

MINDA tracks four stock classes. Each row is pre-filled with the usual default where that class is enabled on the tracker:

  • Only stock classes enabled on the tracker appear in the dropdowns. If a class you need is missing, enable it in the tracker settings first.

  • You can map more than one MINDA stock class to the same Figured stock class.

  • Clear a row to leave that MINDA class unmapped. Unmapped stock classes won't sync to Figured.

  • You can change these mappings later by editing the integration.

⚠️ MINDA has only one class for male animals: Breeding Bulls. If other male cattle that aren't breeding bulls are recorded in that class in MINDA, they import into Figured as whatever you map Breeding Bulls to, and you may need to move them into the right Figured classes manually.

If you've mapped more than one tracker and one of them has no stock classes mapped, Figured shows an Unmapped Stock Classes warning before you continue.

Step 5: Sync Historical Data

  1. Under Sync From, choose the month and year you'd like to start importing MINDA data from. We recommend the start of a season, as long as those movements haven't already been entered manually in Figured.

  2. Make sure any outstanding stock movements up to that date are entered in both MINDA and Figured, because Figured compares opening balances at that date in the next step.

  3. Click Next.

⚠️ Only months that aren't locked in Figured can be selected. If you pick a locked month, Figured tells you the sync will start from the first unlocked month instead. No data imports before the date you choose.

Step 6: Review Stock Balances

Figured compares the opening balance at your chosen sync month in MINDA and in Figured, tracker by tracker and stock class by stock class, and highlights any differences.

Please note: this comparison uses opening balances at the sync month, not current balances. If your sync month is January 2026, you're comparing balances as at January 2026, not today.

If there's a difference, you can:

  • Add any missing movements (for example births or deaths recorded in MINDA but not yet entered in Figured), then check the balances again

  • Leave it and reconcile later

  • Create a reconciling transaction in Figured at any time

Click Complete. You'll see MINDA Integration Setup Completed and a MINDA Integration Connected confirmation, and the first sync starts.

After the Integration Is Connected

MINDA syncs into Figured once a day. Each daily sync covers the current and previous month. You can also run a sync yourself at any time from the tracker: open Tracker Settings (the gear icon on the tracker) and click Sync Historicals under Data Integrations.

If movements aren't importing into Figured, check they've been approved in MINDA. Depending on your MINDA permission level, adding or removing an animal from a herd may need approval from someone with the Herd Owner permission level.

Editing the Integration

To change which herds or stock classes sync, or the sync start month:

  1. Go to Settings > Livestock Integrations and click the pencil icon next to MINDA.

  2. Work through Map Herds, Map Stock Classes and Sync Historical Data, then click Update Integration.

Saving a changed mapping doesn't move any data by itself. The next sync applies it to the months that sync covers. A MINDA class you unmap stops syncing: its transactions are removed for those months and its last imported closing count stays locked. A class you point at a different Figured class lands there from the next sync. If you move the sync start month, Figured asks you to confirm before it changes anything.
