💡 Setting Up the Integration
To successfully enable the integration, the following is needed:
An active AgriWebb account where you have user permissions at the Organisation Admin level
An active Figured account with livestock trackers set up
If you plan to map by enterprise: enterprises configured in AgriWebb, with your animals allocated to them. If you plan to map by species, you don't need enterprises at all. See Step 4.
Have completed the pre-integration checklist

Step 1: Access Integration Settings
Log in to your Figured account.
Click Settings in the sidebar. If you don't see Settings, you don't have sufficient permissions on this farm.
Under the Operation heading, click Livestock Integrations.
Click + New Connection.
Step 2: Choose Your Authorisation Method
You have two options depending on your current access permissions:
Option A: Direct Authorisation (You have access to both systems)
Best for users who have login credentials for both Figured and AgriWebb.
In the AgriWebb Integration dialog, choose "I have access to AgriWebb: Connect".
On the Authorise a Connection screen, click Authorise Connection.
You'll be redirected to AgriWebb to sign in and approve access.
Once authorised, you'll be sent back to Figured.
Option B: Email Authorisation (For accountant/farmer workflows)
Best when the accountant uses Figured and the farmer uses AgriWebb, or when one party doesn't have access to both systems.
In the AgriWebb Integration dialog, choose "I don't have access to AgriWebb: Email to authorise the connection".
Enter the email address of the person who has AgriWebb access.
Click Send.
The recipient receives an email with a Connect button.
They click it to complete the secure authorisation for that farm. They don't need access to the Figured file.
You'll receive a confirmation email once the connection has been made.
ℹ️ You can revoke an email authorisation before it's completed if you change your mind.
Once authorised, the setup wizard opens on the Connect Account step. Tick the confirmation box ("By connecting, you agree to allow Figured to access your AgriWebb data according to our privacy policy") and click Next.
Step 3: Select Your Farms
On the Map Farms step you'll see all the AgriWebb farms you have access to (with the appropriate sync permissions).
Select the farms you want to sync.
Click Next.
Multi-farm support: You can sync multiple AgriWebb farms to a single Figured farm if needed. Leave a farm unticked if you don't want its data in Figured.
Step 4: Choose How to Map Your Data
On the Mapping Method step, choose how you'd like to bring your AgriWebb livestock into Figured. This shapes how your trackers are organised and how detailed your reporting can be. There are two options, and you can pick either one.
Map by enterprise
Map each AgriWebb enterprise to its own Figured tracker.
Best for:
Keeping your existing AgriWebb enterprise structure
Running multiple groups of the same species separately, for example two lamb breeds you want recorded and reported separately
Detailed enterprise-level reporting, such as gross margin per enterprise
Each enterprise becomes a tracker. You'll need to allocate your animals to enterprises in AgriWebb so Figured knows which tracker each transaction belongs to, and backdate each animal's enterprise join date to cover the full period you want to import.
Map by species
Map each species to a single Figured tracker.
Best for:
Simple AgriWebb setups managing sheep and/or cattle as broad groups rather than distinct classes
Having a single sheep or cattle tracker in Figured, or one of each
Reporting at the species level rather than splitting into more granular groupings
✅ Mapping by species means you don't need enterprises at all. Figured routes each transaction on the species of the record instead of the enterprise, so it captures every animal in a species, including animals that have never been allocated to an enterprise in AgriWebb. If enterprise setup and backdating has been a headache, this is the simpler path.
Which one will be recommended?
Figured looks at the AgriWebb farms you selected and the livestock trackers in your Figured file, pre-selects the option that fits, and marks it Recommended with a short explanation:
The AgriWebb farms you selected have no enterprises: species mapping is the only option, and the enterprise card is greyed out.
You have a single sheep or cattle tracker in Figured, or one of each: species mapping lines up with the trackers you already have.
You have multiple sheep or multiple cattle trackers in Figured: enterprise mapping keeps each one distinct.
You can override the recommendation. If you choose species mapping when enterprise mapping is recommended, Figured shows an Enterprise Mapping Recommended warning when you click Next. Click Continue Anyway to proceed with species mapping, or Cancel to go back and switch.
⚠️ Changing this later clears your mappings. You can switch between enterprise and species mapping at any time by editing the integration, but switching clears your tracker and stock class mappings, so you'll set both up again. The new mapping applies from the next sync onwards. See Troubleshooting & Data Syncs for what to expect.
Step 5: Map Your Trackers
What you see on the Map Trackers step depends on the option you chose in Step 4.
If you chose Map by enterprise
You'll see all the enterprises from your selected AgriWebb farms.
Hover over an enterprise to see which farm it belongs to.
Map each enterprise to the appropriate Figured tracker. You can map several enterprises to the same tracker, or leave an enterprise unmapped if you don't want its data in Figured.
Click Next.
⚠️ Duplicate enterprise names. If two enterprises in the same AgriWebb farm share a name, Figured can't map them and shows Duplicate Enterprises Found. Rename or delete the duplicate in AgriWebb, then click Refresh to continue.
If you chose Map by species
Match each species to the Figured tracker you want its transactions to land in.
Only Cattle and Sheep are supported. Any other species in AgriWebb will not sync.
Each species maps to one tracker. The dropdown only offers trackers of the matching type, and you can create one on the spot with Add New Tracker.
If you sync more than one AgriWebb farm, each farm gets its own Cattle and Sheep rows. You can point every farm's species at the same tracker, or keep them separate.
You only need to map the species you actually farm. A species you leave unmapped won't come through.
You can change these mappings later by editing the integration.
Step 6: Map Age Classes to Stock Classes
The Map Stock Classes step works the same way whichever mapping method you chose. This is where you align your AgriWebb age classes with your Figured stock classes, tracker by tracker.
You'll see separate Cattle and Sheep tabs only if you have trackers of both types. With a single species there are no tabs, which is normal.
Only stock classes enabled in Figured appear in the dropdowns.
You only need to map the age classes you use in AgriWebb. Leave the rest unmapped.
You can map multiple AgriWebb age classes to the same Figured stock class.
Use Copy Mapping to other Trackers to apply the same mapping to similar trackers.
⚠️ Unmapped stock classes won't sync to Figured. If you've mapped more than one tracker and one of them has no stock classes mapped, Figured shows an Unmapped Stock Classes warning before you continue. Map at least one age class on every tracker you've mapped, otherwise setup can't be completed.
Step 7: Sales & Purchase Transactions
On the Sales & Purchase Transactions step, Figured asks "Where do you enter your sales and purchase invoices?"
Invoices entered in Xero (or your accounting system): Figured only brings in natural movements from AgriWebb (births, deaths, aging and transfers). You keep entering invoices in your accounting system as you do now.
Invoices entered in AgriWebb: Figured brings in all transactions from AgriWebb, including sales and purchases, so you can post them through to your accounting system from Figured.
If you choose Invoices entered in AgriWebb, you can set default accounts for AgriWebb costs such as commission, levy, transport and other costs. Any cost you leave unmapped defaults to the stock class sales/purchase account set in the tracker. Use All Trackers to apply the same accounts everywhere, or Per Tracker to set them tracker by tracker.
Which option is right for you? This depends on your existing workflow.
If you're already recording sales and purchases in your accounting system and bringing them into Figured that way, choose Invoices entered in Xero to avoid duplicating transactions. If you'd prefer AgriWebb to be your single source for all livestock movements including sales and purchases, choose Invoices entered in AgriWebb.
Tip: You can't use both sources for sales and purchases at the same time without creating duplicate entries. Choose one and stick with it.
💡 Once you edit an imported invoice in Figured, or post it to your accounting system, it stops updating from AgriWebb. Quantities and other fields on it won't change on later syncs, and it stays in Figured even if the sale is deleted in AgriWebb. Invoices you haven't touched keep following AgriWebb.
Step 8: Sync & Balance Check
The Sync & Balance Check step sets where your import starts and lets you confirm Figured and AgriWebb agree before any transactions are written.
Choose your sync start
Under Sync Historical Data, use Sync From to pick the month and year you'd like to start importing AgriWebb data from.
Make sure any outstanding invoices and stock movements up to that date are entered in both AgriWebb and Figured first. No data imports before the date you choose.
⚠️ You can't sync a month that's on or before a lock date from your accounting system. If you pick one, Figured tells you the sync will start from the first unlocked month instead. If your livestock tracker is already up to date, choose a start month after your last manual entries so you don't double up.
Review the Opening Balance Check
Once you've picked a date, Figured compares the opening balance at that month in AgriWebb and in Figured, tracker by tracker. This can take up to a minute.
Each tracker shows its AgriWebb total, its Figured total, the Difference and a status of Matched or Review balance. A summary line above the table counts how many matched.
Click a tracker to expand the breakdown by stock class. Only mapped stock classes are shown.
A tracker in Review balance has a note on the likely causes (animals not yet assigned or moved in AgriWebb, or movements recorded in only one system), with Log into AgriWebb and check your Figured tracker links so you can fix the difference. Check that all outstanding transactions, such as stock sales, purchases, births and deaths, are entered in both systems.
After making changes in either system, click Refresh Opening Balance to run the check again.
If your sync month is more than 12 months ago, Figured notes that the balance may not match what you see today.
You can complete setup with a difference showing. It's better to resolve it first, but you can also fix it later from the tracker.
Step 9: Complete Setup
Review your settings.
Click Complete.
You'll see AgriWebb Integration Setup Completed and land back on the Livestock Integrations page, where AgriWebb shows as Connected with the number of trackers. The initial sync begins automatically; you can watch its progress next to Sync Historicals in the tracker's settings.
From here AgriWebb syncs into Figured once a day. You can also run a sync yourself from the tracker at any time. See Troubleshooting & Data Syncs.
