How to set up a milk tracker for an Australian farm

Adding a new milk tracker

You can have as many milk trackers as you wish, provided you have either a unique set of sales/purchase accounts setup or Multi-Farm enabled.

Head over to Operations > Trackers > Create New Tracker and on the following page select Milk from the list provided.

To create a new milk tracker, you'll need to enter a name and the milk company that you supply milk to. 

Configuring your milk tracker

On creating you'll be taken to the milk tracker settings page, you can get back to this page at any time by going to Operations > Milk tracker > Tracker settings.

Here you can update the operation type, account mapping, farm manager settings, and how you record your milk income in your accounting software.

Operation type 

The operation type defaults to farm owner but this can be changed to share milker or contract milker depending on your farming operation. 

  • Share milker – If you chose share milker, you’ll see an extra field to enter the percentage of milk income you receive

  • Contract milker – If you chose contract milker, you’ll see an extra field to enter the $ per kgMS of milk income you receive

Selecting farm owner gives you the option to add add either a share or contract milker via the Farm Manger settings.

Updating the share milker % or contract milker price for a new season

If your arrangement changes between seasons for example, you go from a 50% share milker to an 80% share milker, or your contract price changes from $1.40 to $1.50 per kgMS. You can update the % or price from a chosen season onwards, all within the same tracker.

In your tracker settings, next to the Share Milker Share (or Contract Milker Price) field, select Edit Share Milker Share (or Edit Contract Milker Price).

In the modal, choose the From Year the new value should apply from, enter the new % (for share milkers) or $ per kgMS (for contract milkers), and select Save.

Your previous % or price will continue to apply up until the year you've selected, and the new value will apply from that year onwards.

A few things worth knowing:

  • The change applies for the entire season you can't change the % or price part-way through a season.

  • The history of all your previous % or $ entries is shown in the table within the modal. To remove an entry, select the bin icon next to it.

  • Your existing % or price stays in place until you enter a new one , there's no need to update anything if your arrangement hasn't changed.

Account mapping

In Figured you will need only one main milk income account. This is the account where you record all of your milk income in your accounting software.

Recording milk income in your accounting software

To make sure actual payments are shown in the tracker correctly, you need to select the cash / accrual mode in your milk tracker.

If you cash code payments in your accounting software select No, but if you record them as sales invoices then select Yes.  

Once you're happy with your setup, you can hit save changes at the bottom of the milk tracker.
