AgriWebb Integration: Pre-Integration Checklist
Before starting the AgriWebb integration setup wizard in Figured, please work through the checklist below. Completing these steps first helps the integration connect smoothly and your data sync correctly from day one.
Some of the prep work depends on how you plan to map your data: by enterprise, or by species. Start with item 1 to decide, then work through the items that apply to you.
✅ Quick Checklist
Everyone:
Decide whether you'll map by enterprise or by species
Required stock classes are enabled in Figured
Figured livestock trackers have Sales and Purchases accounts mapped
AgriWebb user has the correct permission level (Organisation Admin)
Only if you're mapping by enterprise:
Enterprises are created in AgriWebb for each business unit
AgriWebb transactions all have an enterprise assigned
Only if you're mapping by species:
Every AgriWebb record has a species of Cattle or Sheep
1. Decide How You'll Map Your Data
During setup you'll be asked to choose between two mapping methods. This choice determines what else you need to prepare, so it's worth deciding up front.
Map by enterprise: each AgriWebb enterprise becomes its own Figured tracker. Choose this if you want to keep your existing enterprise structure, run several groups of the same species separately, or report at enterprise level (for example gross margin per enterprise). Requires enterprises set up in AgriWebb, with animals allocated to them.
Map by species: each species maps to a single Figured tracker. Choose this if you manage sheep and/or cattle as broad groups and have roughly one tracker per species in Figured. Does not require enterprises at all.
✅ If enterprise setup has been the hard part, species mapping may save you the work. Mapping by species routes transactions on the species of the record rather than the enterprise, so it picks up animals that were never allocated to an enterprise, and there's no backdating of enterprise join dates to get right.
Figured pre-selects whichever option best fits the trackers already in your Figured file and marks it Recommended, but you can choose either. If the AgriWebb farms you connect have no enterprises at all, species mapping is the only option offered.
2. Enable the Required Stock Classes in Figured
During the integration setup, you'll map AgriWebb age classes to Figured stock classes. Only enabled stock classes appear in the mapping dropdowns. If a stock class you need isn't enabled, you won't be able to complete the mapping step.
This applies whichever mapping method you choose.
How to check
Open your livestock tracker and go to Settings > Stock Classes.
Review the list of stock classes and make sure every class you use in AgriWebb has a corresponding enabled class in Figured.
Enable any additional stock classes before beginning the integration wizard.
💡 Good to know: You can map multiple AgriWebb age classes to a single Figured stock class if that suits your setup. You only need to map the age classes you actually use in AgriWebb; anything you don't use can be left unmapped.
3. Set Up Sales and Purchases Accounts on Your Trackers
Each livestock tracker that will receive sale and purchase data from AgriWebb needs a Sales account and a Purchases account configured. These determine where AgriWebb sale and purchase transactions post in your Chart of Accounts.
How to check
Open the livestock tracker you plan to integrate.
Click Settings and look for the Sales Account and Purchases Account fields.
Make sure both are populated with the appropriate accounts from your Chart of Accounts.
Repeat for every tracker you intend to map, whether to an AgriWebb enterprise or to a species.
💡 Why this matters: If a tracker is missing a Sales or Purchases account, AgriWebb transactions have nowhere to post. Setting these up first avoids an Unmapped Stock Class warning on the tracker after your first sync.
4. Confirm Correct Permission Levels in AgriWebb
The person authorising the connection between AgriWebb and Figured must have Organisation Admin permissions in AgriWebb. Without this, the authorisation step in the integration wizard won't complete.
How to check
Log in to your AgriWebb account.
Go to Settings > Users and confirm your account role is Organisation Admin.
If you're an accountant and your client holds the AgriWebb account, use the Email Authorisation option in Figured to send them an authorisation link instead.
💡 Accountant-farmer workflows: If your client is the one with AgriWebb access, you don't need their login. During setup, Figured's Email Authorisation option sends your client a secure link to authorise the connection from their end.
ℹ️ The next two items apply only if you're mapping by enterprise. If you're mapping by species, skip to item 7.
5. Create Enterprises in AgriWebb (enterprise mapping only)
An Enterprise in AgriWebb defines a business unit on a farm (for example, a sheep operation or a beef operation). If you're mapping by enterprise, each AgriWebb enterprise maps to a Figured tracker, so if no enterprises exist there's nothing to map.
How to check
Log in to AgriWebb on the web app and open the Livestock tab.
Click the Enterprise tab at the top of the page.
Confirm an enterprise exists for each business unit you want to track in Figured.
If any are missing, click Add Enterprise, select the species and type, and give the enterprise a name.
💡 Why this matters: Under enterprise mapping, each Figured tracker maps to one or more AgriWebb enterprises. If enterprises haven't been set up, or several operations are lumped under one, the integration won't reflect your business structure. It's much easier to set enterprises up properly before integrating than to restructure data afterwards.
✅ Don't want to set up enterprises? If you only farm sheep and/or cattle as broad groups, consider mapping by species instead. It skips this item and item 6 entirely.
💡 Permissions note: Only Administrator and Manager roles in AgriWebb can add or edit enterprises and management groups. See AgriWebb's articles on Enterprises and Management Groups (IAM) and Enterprises and Management Groups (MOB).
6. Check AgriWebb Transactions Have the Correct Enterprise (enterprise mapping only)
Under enterprise mapping, transactions are routed to trackers based on the enterprise assigned to them in AgriWebb. If a transaction has no enterprise, it won't sync to any Figured tracker.
How to check
In AgriWebb, review your recent livestock transactions (sales, purchases, births, deaths, movements).
Confirm each is assigned to the correct enterprise.
Pay particular attention to transactions entered without an enterprise. These won't map during the sync.
Check the timing of the enterprise allocation too. If animals were added to an enterprise after their births or other events were recorded, backdate the enterprise join date to cover the period you want to import.
💡 Why this matters: If transactions in AgriWebb sit under the wrong enterprise (or no enterprise at all), they'll end up in the wrong place in Figured or won't come through. Cleaning this up beforehand saves reconciliation headaches later.
ℹ️ The next item applies only if you're mapping by species.
7. Check Your Species Are Set in AgriWebb (species mapping only)
Under species mapping, transactions are routed to trackers based on the species on the record rather than the enterprise. You don't need enterprises, but the species needs to be right.
Only Cattle and Sheep are supported. Any other species you run in AgriWebb won't sync to Figured.
Records with no species won't sync. If the species is blank, Figured has no way to route it and it's skipped.
How to check
In AgriWebb, run the Movement Report.
Make sure the Species column is showing.
Check for any rows with a blank species, or a species other than Cattle or Sheep.
💡 Why this matters: Skipped rows are silent. If your closing numbers don't match AgriWebb after setup, a blank or unsupported species is one of the first things to check.
