Troubleshooting & Data Syncs

Verifying your AgriWebb data and Troubleshooting

Written by Dharm Patel

Troubleshooting

ℹ️ First, check which mapping method you're using. Several of the causes below only apply to one method. Go to Settings > Livestock Integrations, click the pencil icon next to AgriWebb, and look at the Mapping Method step. It shows either Map by enterprise or Map by species.

Sync issues on your tracker

When a sync can't bring something across, Figured flags it on the tracker rather than failing silently. Open the tracker and check the Sync Status panel, which appears with a count of issues whenever the last sync raised any.

Warning

What it means

What to do

Unmapped Stock Class

A stock class has no Sales and/or Purchases account, so AgriWebb sales or purchases for it can't post.

In Tracker Settings, map the accounts. If you never sell or buy that class, dismiss the message.

Disabled Stock Class

Transactions are mapped to a stock class that's been disabled on the tracker.

Re-enable the stock class in Tracker Settings, or change the mapping in the integration.

Unmapped Transfer Accounts

A transfer between trackers can't be imported because the stock classes involved have no transfer (or sale/purchase) accounts.

Map the accounts in Tracker Settings, then sync again.

Multi-Enterprise sales skipped / purchases skipped

One invoice in AgriWebb covers livestock from more than one enterprise. Figured can't split it yet.

Enter the sale or purchase manually in Figured, or record it as one invoice per enterprise in AgriWebb and sync again.

Age class changes skipped

An age class change was recorded in AgriWebb on the same day as an enterprise move. The move is imported; the age class change isn't, so the split between classes can differ from AgriWebb until it's entered.

Enter the age class change manually in Figured, or record the two changes on different days in AgriWebb and sync again.

Unmapped AgriWebb Enterprise

An enterprise isn't mapped to a Figured tracker, so its data isn't syncing.

Map it by editing the integration, or dismiss the message if you track it outside Figured.

AgriWebb Enterprise No Longer Exists

A mapped enterprise has been deleted in AgriWebb, so syncing has stopped for it.

Edit the integration, remove the enterprise or map the one that replaced it, then sync again.

AgriWebb Re-authorisation Needed

The AgriWebb farms the connection was authorised for have changed, or are no longer available.

Edit the integration and click Re-authorise AgriWebb. If the farm was removed in AgriWebb, select a new farm to map.

Unexpected Sync Error

Something else went wrong during the last sync.

Contact Figured Support.

Transactions Not Appearing

Transactions may not appear in Figured for the following reasons. Click a reason to expand it.

They are BEFORE the sync start date you chose in the integration settings

To check your sync start date, open the tracker, click the gear icon to open Tracker Settings, and under Data Integrations click Sync Historicals to see the date transactions sync from.

Alternatively, go to Settings > Livestock Integrations, click the pencil icon next to AgriWebb, and go to the Sync & Balance Check step. Sync From shows the month transactions sync from.

They do NOT have an Enterprise assigned in AgriWebb (enterprise mapping only)

This applies only if you're mapping by enterprise. Transactions with no enterprise won't sync to any Figured tracker. To check, log in to AgriWebb and run the Movement Report. Make sure the Enterprise column is showing and look for any transactions with a missing enterprise.

Also check the timing of the enterprise allocation. If animals were added to an enterprise after their births or other events were recorded, AgriWebb can't attribute those events to the enterprise. Figured then sees stock arriving from an unknown origin and records it as a Reconciling entry rather than the proper transaction type. Backdating the enterprise join date to cover the period you want to import fixes this, and the next sync corrects the entries automatically.

✅ If missing or late enterprise allocations are a recurring problem on this farm, switching to species mapping avoids the issue. It routes on species instead of enterprise, so it picks up animals that were never allocated to an enterprise. See "Switching between enterprise and species mapping" below.

The Species is blank, or is not Cattle or Sheep (species mapping only)

This applies only if you're mapping by species. Figured routes each transaction on the Species of the record. If the species is blank there's nothing to route on and the record is skipped.

Only Cattle and Sheep are supported. Any other species in AgriWebb won't sync.

To check: log in to AgriWebb, run the Movement Report, make sure the Species column is showing, and look for blank values or species other than Cattle and Sheep.

⚠️ Skipped rows are silent. If your closing balance is short, this is one of the first things to check.

The species hasn't been mapped to a tracker (species mapping only)

If you left a species unmapped during setup, none of its transactions come through.

To check, go to Settings > Livestock Integrations, click the pencil icon next to AgriWebb, and go to the Map Trackers step. Each connected AgriWebb farm shows a Cattle row and a Sheep row. Make sure every species you actually farm has a tracker selected.

If you sync more than one AgriWebb farm, check each farm. They're mapped separately, so a species can be mapped on one farm and left blank on another.

It's a sale or purchase and the account isn't mapped in Figured

Just like entering a sale or purchase in Figured, the stock class must have a Sales or Purchases account mapped. Figured flags this as Unmapped Stock Class on the tracker.

If you use a single Sale & Purchase account in your tracker this won't be the issue.

The age class in AgriWebb has NOT been mapped to a Figured stock class

If an AgriWebb age class isn't mapped to a Figured stock class, Figured doesn't receive those transactions. To check, go to Settings > Livestock Integrations, click the pencil icon next to AgriWebb, and on the Map Stock Classes step make sure every age class in use is mapped.

This applies whichever mapping method you're using.

The purchase was recorded in AgriWebb without purchase details

A mob created in AgriWebb through "New mob + Purchase" without purchase details (price, vendor) doesn't reach the tracker. Add the purchase details in AgriWebb and sync again, or enter the purchase manually in Figured.

Reconciling entries with a note

Sometimes AgriWebb records a movement that Figured can't match to a mapped stock class or tracker. Rather than drop it, Figured records a Reconciling entry with a note saying what happened, so your closing numbers still match AgriWebb:

  • Aging In / Aging Out: an age class change where one side is mapped to a stock class and the other isn't.

  • Transfer In / Transfer Out: a mob moved into or out of an enterprise that isn't mapped to a Figured tracker.

  • Recount from AgriWebb: a recount recorded in AgriWebb.

If you'd rather see these as proper aging or transfer transactions, map the missing stock class or enterprise and sync again from the month of the movement.

Incorrect Mappings

If your data is going to the wrong trackers or stock classes:

  1. Go to Settings > Livestock Integrations and click the pencil icon next to AgriWebb.

  2. Review your tracker mappings on the Map Trackers step (enterprises or species, depending on your method).

  3. Review your stock class mappings on the Map Stock Classes step.

  4. Update as needed and click through to Sync & Balance Check, then Update Integration.

  5. Run a manual sync from the month you want corrected.

Switching between enterprise and species mapping

You can change your mapping method at any time: Settings > Livestock Integrations, pencil icon next to AgriWebb, Mapping Method step.

⚠️ Switching clears your mappings. Your tracker and stock class mappings are cleared as soon as you switch, because the two methods store them differently. You'll need to set both up again before you can finish. The new mapping takes effect from the next sync, which rewrites the months it covers (the current and previous month). To apply it further back, run a manual sync from the earlier month. Anything behind your lock date, and any imported invoice you've already edited or posted, is left alone. Transactions you entered yourself in Figured aren't affected.

Plan for it rather than switching mid-reconciliation.

Opening balances don't match

The Sync & Balance Check step compares the opening balance at your chosen sync month in AgriWebb and Figured, tracker by tracker. A tracker showing Review balance has a difference in at least one stock class. Expand the tracker to see which.

  • Check that all stock sales, purchases, births and deaths up to the sync month are entered in both systems, then click Refresh Opening Balance.

  • If your sync month is more than 12 months ago, the balance may not match what either system shows today. That's expected.

  • A month on or before your lock date can't be checked. Figured tells you which month the sync will start from instead.

You can see this check again at any time by editing the integration.

Authorisation Issues

  • Make sure the person authorising has Organisation Admin permissions in AgriWebb.

  • Check the email address is correct for email authorisation.

  • Try revoking and resending the authorisation if needed.

  • If you see AgriWebb Re-authorisation Needed when editing the integration, the farms the connection was authorised for have changed. Click Re-authorise AgriWebb.

Data syncing

Data syncs automatically once a day. Each daily sync covers the current and previous month. If you need data updated at another time, or need an older month corrected, run a manual sync:

  1. Open your livestock tracker and click the gear icon to open Tracker Settings.

  2. Under Data Integrations, click Sync Historicals. While a sync is running the button shows its progress.

  3. Choose the month to sync from. The latest data is pulled from AgriWebb for every month from there.

💡 Only transactions after your sync start date come across. If you map by enterprise, transactions also need an enterprise assigned in AgriWebb. If you map by species, they need a species of Cattle or Sheep.

Understanding Synced Data

Trackers connected to AgriWebb show the AgriWebb logo on the tracker list page.

Transaction Details

When you view transactions in Figured:

  • Date: the date the event occurred in AgriWebb.

  • Source: shows "AgriWebb" to indicate the transaction origin.

  • Read-only: AgriWebb transactions can't be deleted in Figured, and quantities, weights, stock classes and dates are read-only. On imported sales and purchases you can add or edit the amount, tax, contact, reference and any non-stock lines, and post to your accounting system.

💡 Edited or posted invoices stop syncing. Once you save a change to an imported sale or purchase in Figured, or post it to your accounting system, it no longer receives updates from AgriWebb, including deletion. To confirm whether an invoice is still syncing, open View Transactions and check its History Log: an invoice that has stopped syncing shows "Updated" or "Posted to Xero" with no "Updated by AgriWebb" after it.

Making Changes to Synced Data

To change a synced movement:

  1. Make the change to the record in AgriWebb.

  2. Wait for the next automatic sync, or run a manual sync from that month.

  3. The updated information appears in Figured.

This keeps the two systems consistent and avoids conflicts.

Managing Your Integration

Viewing Integration Status

The Livestock Integrations page lists AgriWebb with its number of connected trackers and a Connected status. Click the pencil icon next to it to see:

  • Connected farms

  • Your mapping method (enterprise or species)

  • Mapped enterprises, or mapped species

  • Stock class mappings

  • Your sales and purchase source, and sync start date

Disconnecting the Integration

If you need to remove the integration:

  1. Go to Settings > Livestock Integrations.

  2. Click the red bin icon next to AgriWebb.

  3. In the Disconnect Integration dialog, choose whether to also permanently delete all transactions imported by this integration.

  4. Click Yes, disconnect (or Yes, disconnect and delete).

Note: Disconnecting stops future syncs. If you don't tick the delete option, transactions already synced stay in Figured and become editable. If you do tick it, every transaction AgriWebb imported for this farm is removed. This can't be undone.
