Why have my chart of accounts doubled up?

If your planning grid is showing duplicate accounts on a number of different accounts like the example below…

…and your chart of accounts indicates that these duplicate accounts are archived or deleted in Xero with red warning triangles…

…this could be an indicator that your chart of accounts have been reimported within Xero.


Why is this happening?

When viewing your chart of accounts in Figured, please be aware that Figured will pull in all data from Xero - including data you may not be able to see.

This includes archived and deleted accounts.

If you already have a complete imported chart of accounts in Xero please note that using the import option to reimport the same chart of accounts list with a small few edits will cause a duplication of the existing accounts in Figured.

This is because while Xero has overwritten the old account with the new (or merged the two), but Figured is reading these as two unique accounts - one set has been "archived", and the other set is active. This is why the "doubled up" account has a warning saying that the account may have been archived or delete.

This will not affect any of your data inside of Figured, and you will not be able to accidentally map these "archived" accounts in your Production or Planning tabs.

This does however mean that if you’ve already added a forecast for this year and then reimported the chart of accounts in Xero, your plan will sit against the ‘old accounts’ in Figured like in the first image above.


How can I fix this up?

The only workaround to fix this is to reenter your forecast manually against the new accounts in Figured and clear out the old accounts which can be a very manual task.

NOTE: Please note however that if you do not have any values in your planning grid against any of the accounts that have duplicated then the archived account names won’t appear. So if you’re just about to start a new season there is no real need to fix this up because the next empty year will not show the duplicate.


How do I add accounts to my chart of accounts without causing the double up?

You will need to use the +Add Account button rather than reimporting the entire chart of accounts with the changes.


How do I edit things like the Tax Rate or any other of the settings on each account?

We would suggest editing individual accounts manually to avoid this issue. You can click onto each account in the Chart of Accounts list in Xero and manually update any details required.
