BUILDING YOUR CROPPING BUDGET

Once you’ve set up your Cropping Tracker you can start managing your crop production and add estimated Purchase, Harvest, Sale, Used for Feed, Held for Seed, Shared and Written Off Transactions for the year ahead. 


NOTE:
You will need to first map your accounts in the tracker, if not you may end up with orphaned transactions.


Firstly select your Cropping Tracker from the Production tab.


Ensure the budget is visible, by ticking the Show Budget box then click Update View.


Enter your opening balances for the year via Budget Settings 


You’ll be taken to the page below where you enter in your opening budget stock numbers.


If you want the same opening numbers that you’ve set in your Actual + Forecast then just scroll down to the bottom of the page and click “Update from Actual + Forecast” Otherwise enter your opening quantities manually and then click Save.

You'll then get a confirmation letting you know that the quantities have been updated.

CREATING BUDGET TRANSACTIONS

To enter a transaction, click on Add Budget Transaction and then choose either Purchase, Harvest, Sale, Used for Feed, Held for Seed, Shared or Written Off 

ENTERING A SALE OR PURCHASE

  • Sale/Purchase Date enter your estimated sale or purchase date
  • Payment Date enter you estimates payment date
  • Amounts are should be Tax Exclusive
  • Notes are optional
  • Crop Type is the type of crop (wheat, barley, etc) you’re planning to sell/purchase
  • Tonnes is the total estimated weight to be sold
  • Area Harvested estimated harvested hectares to be sold
  • Amount is the estimated sale price and choose either Total Amount or Per Tonne
  • Tax Rate should be 15% GST on income.
  • Option to Add Another Stock Class in the same transaction
  • Option to Add a Non-Stock Line

Once you've finished just click Save Transaction or to Save and Add Another transaction, just click the drop down arrow shown above

ENTERING A HARVEST TRANSACTION

  • Transaction Date enter your estimated harvest date
  • Notes is optional
  • Grade is the type of crop (wheat, barley, etc) you’re planning to harvest
  • Total Tonnes of estimated weight to be harvested
  • Area Harvested estimated hectares to be harvested
  • Option to Add Another Stock Class in the same transaction

To save, click Save Transaction.

ENTERING A USED FOR FEED TRANSACTION

  • Transaction Date enter your estimated transaction date
  • Notes is optional
  • Grade is the type of crop (wheat, barley, etc) you’re planning to use for feed
  • Total Tonnes is the estimated weight
  • Option to Add Another Stock Class in the same transaction

To save, click Save Transaction.

ENTERING A HELD FOR SEED TRANSACTION

  • Transaction Date enter your estimated transaction date
  • Notes is optional
  • Grade is the type of crop (wheat, barley, etc)
  • Total Tonnes is the estimated weight
  • Option to Add Another Stock Class in the same transaction

To save, click Save Transaction.

ENTERING A SHARED TRANSACTION

  • Transaction Date enter your estimated transaction date
  • Notes is optional
  • Grade is the type of crop (wheat, barley, etc)
  • Total Tonnes is the estimated weight
  • Option to Add Another Stock Class in the same transaction

To save, click Save Transaction

ENTER A WRITTEN OFF TRANSACTION

  • Date of Transaction enter write off date or estimate write off date if adding a budgeted transaction
  • Notes is optional
  • Grade is the type of crop being written off
  • Total Tonnes amount being written off
  • Option to Add Another Stock Class in the same transaction

To save, click Save Transaction

 

CREATING FORECAST OR ACTUAL TRANSACTIONS

Adding Forecast transactions is identical to adding budget transactions, however with Actual transactions ,Figured will give you additional options to complete / select.

  • Contact is the company you’re selling to
  • Xero Reference is optional
  • Post to Xero should only be ticked if the transaction doesn’t yet exist in Xero.

To confirm, click Save Transaction.

NOTE: If you tick the box Post to Xero in error, here’s how to fix this: Troubleshooting > Posting to Xero in error.

VIEW ALL, EDIT OR DELETE A TRANSACTION

You can view all transactions at the top of your screen, by clicking on View Transactions along the top of the screen.

 
A new window appears. Figured gives you options to filter on Period, Type, Transaction type and Account.


To edit an existing transaction, click on Edit


This will take you into the transaction where you can make your changes.

Make your changes, then click Save Transaction.

Or to delete the transaction, click Delete Transaction which brings up an alert.

Click Delete again and Figured will confirm the transaction has been deleted.
